This policy explains how SthapnaCorp collects and uses personal data through sthapnacorp.com and in providing our services. We process personal data in line with the Digital Personal Data Protection Act, 2023.
1. What we collect
- Contact details: name, mobile number, email address and company name you give us through forms, orders, WhatsApp, email or calls.
- Professionals on the platform: name, firm, qualification, membership number, city and contact details of professionals who apply to take orders, used to verify them and send them orders.
- KYC and filing data: details and documents of directors, partners, shareholders and the company that a filing requires, such as PAN, Aadhaar, address proof, photographs and DIN.
- Reminder preferences: your entity type and dates you enter in the compliance calendar if you subscribe to reminders.
- Payment data: payment status and reference numbers. Card and bank details are handled by Razorpay, not by us.
- Usage data: pages visited and the advertisement or link that brought you to the site, through analytics cookies where enabled.
2. Why we use it
- To prepare and file documents you engage us for and to communicate with you about them.
- To reply to enquiries and send quotes.
- To send deadline reminders you subscribed to. Every reminder email has an unsubscribe link.
- To meet legal, tax and professional record-keeping obligations.
- To understand which pages and campaigns are useful, using aggregated analytics.
3. Who we share it with
- Government portals and authorities where a filing requires it (MCA, RBI, Income Tax Department, GST, Trade Marks Registry).
- Service providers that run our systems: website and database hosting, email delivery, authentication and Razorpay for payments. They process data only on our instructions.
- The expert assigned to your order. When you place an order, the requirement, your city and business name go to the verified expert matched to it. After they accept, they also see your first name, your messages and the documents you upload on the order. Your mobile number and email are not shared with experts; they contact you through the order chat. Experts are bound to keep this information confidential and use it only for your order.
- Professionals involved in your matter with your knowledge, such as your auditor, a registered valuer or a registrar and transfer agent.
We do not sell personal data.
4. How long we keep it
We keep engagement records and documents for as long as needed to provide the service and as required by law for professional and tax records. Reminder subscriptions are kept until you unsubscribe. Enquiries that do not lead to an engagement are deleted within two years.
5. Your rights
You can ask to access, correct or erase your personal data, withdraw consent, or nominate someone to exercise your rights. Some data must be kept to meet legal obligations even after you ask us to delete it. Write to the contact below and we will respond within 30 days.
6. Security
Data is stored with access restricted to people who need it for your matter. Documents shared over WhatsApp or email are moved to our records and not used for any other purpose.
